Job overview

The post holder will be supporting the management of the Universal appointments by directly entering on to Rio diaries as in line with Practitioner’s whole time equivalent performance targets. Manage service administration requirements as per NELFT Rio pathways. They will also receive calls from community partners and agencies and refer to appropriate teams and professionals. They will assist with the maintenance of administrative duties whilst adhering to Trust protocols and procedures and in particular to patient confidentiality. The post holder may have to rotate to other bases to support the service as required.

Main duties of the job

·Directly appoint into Rio Diaries Universal appointments for the 0-19 Universal Children’s Services clinical teams 

·To contact all parents for antenatal and New Birth appointments to confirm demographic details and arrange appointment date/time prior to recording into practitioner diary.

·Upload the height and weight details provided by the school nurse team into the National service reporting

·For all appointments within 24 hours, scheduled block text appointments to be sent to parents/children.

·Receive records that have transferred into the Borough within the SPA team. 

·Ensure outcome letters/results are produced/mail merged to ensure the contracted communication expectations are managed

·Receiveincomingcallspromptlyand efficientlyfrom Patients,HealthCare professionals, Social Care, Maternity services, GP practicesandotherhealth services

·Communicate effectively witharangeof people, either in personor on the telephone, promptly

·Manageandmaintain anefficientadministrativesystemonbehalfof others.

·Accuratelyproducereports,correspondenceand documents within agreed timescales.

·Work withoutsupervisionandensureurgentsituationsareaddressedswiftly.

·Ensure workloadismanagedandprioritised appropriately.

·Establishandmaintain electronic filingsystems.

·Cover other teams where necessary,which mayrequireworkingon other sites.

Probationary Period

This post will be subject to a probationary period. Internal applicants are exempt from the probationary period (unless you are an internal applicant currently part way through a probationary period or currently a bank member of staff).

NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focussing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.

High Cost Area Supplement - Outer London

This post also attracts payment for High Cost Area Supplement of 15% of the basic salary (with a minimum of £4,551 to a maximum of £5,735 pro rata for part time).

To be able to communicate complex client related information facilitating positive outcomes and ensuring collaborative working.
