Job Title:  Lead Executive Assistant and EA to the CEO

Department/Reporting To:  Office of the CEO, reporting to the CEO

Location: Bristol, office based 

Salary:£65,000 -  £90,000 depending on skills and experience 

Reporting to the CEO the Senior Executive Assistant will thrive in a high-performing environment. This role acts as a key support function to our Chief Executive Officer. This role also manages our team of EAs and Office Assistants.

The dynamic nature of this role requires the ideal candidate to have exemplary time management skills and to be an expert in ‘reading the play’ when it comes to assisting and deputising for our CEO. You will become be the central person running the Office of the CEO, managing the various messages and tasks that require prioritising, and making related decisions with their view in mind. This role would suit an individual who is confident in their ability to work independently to achieve outcomes from day-to-day responsibilities, to ensure the delivery of more complex value-add projects, and to delegate items to others in your team.

To excel in this role the candidate must be comfortable operating in a fast-growing tech scaleup. Being a crucial supporting role, the individual will need to be experienced and comfortable interacting with senior stakeholders across the business, with our Board, and with external stakeholders, and displaying the appropriate level of professionalism and discretion at all times.

This role will require some travel ~2 weeks a year, mostly pre planned.


Responsibilities:


Strategic Support

  • Assist in the preparation of business presentations, reports, and other materials for meetings and strategic initiatives
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring smooth communication and follow-ups
  • Responding to emails on behalf of the CEO


Board Support & Planning

  • Handle logistics for board meetings, including scheduling, venue arrangements, and follow-up communications
  • Maintain and organise board-related documents, ensuring confidentiality and accuracy
  • Manage and taking board minutes


Project and Exec Coordination

  • Act as a key logistical member of the deal team, supporting planning and coordination
  • Arrange Exec Board meetings, ensuring documentation is gathered, agendas are set, and actions are tracked
  • Organise meetings, prepare agendas, research key players and document action items/decisions


Administrative & Operational Support

  • Manage the CEO’s inbox, sorting through and prioritising content
  • Manage the CEO’s calendar, prioritising appointments, managing scheduling conflicts
  • Handle travel arrangements for the CEO, including building complex itineraries, and booking travel and accommodations
  • Manage confidential and sensitive information with utmost discretion


Business Support Team Management

  • Act as the group leader for our EAs and Office Admins, ensuring alignment across team members, prioritising group work, and keeping tabs on our team’s culture and needs


Essential Experience:

  • Proven experience as an Executive Assistant, preferably supporting C-level executives. 5+ years supporting at EA level with 8+ years of work experience
  • Strong organisational, multitasking, and time-management skills with the ability to plan and prioritise to meet deadlines
  • Experience supporting at board level, with a strong understanding of board functions
  • Experience in project management and managing the assignment of priorities and tasks for a team of business support staff
  • Experience as a people manager, ideally as a team leader
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • High level of discretion, confidentiality, and loyalty
  • Proactive approach to support with strong problem-solving and decision-making capabilities
  • Flexible and adaptable, with an understanding of the demands of supporting a busy CEO
  • Business and commercial acumen
  • Growth mindset and strong emotional intelligence
  • Knowledge and understanding of corporate finance, deal teams/fundraising, and/or strategic planning processes


Desired Experience:

  • Previous experience in a growth/scale up environment strongly preferred
  • Experience with stakeholder management in a 250+ person company
