The core purpose of the role is to process new and ongoing grant applications, manage our Membership and event planning, support colleagues and Trustees, as well as being the first point of contact for all stakeholders.Grant GivingManage the grant application process from initial submission to final reporting on Salesforce.Support the Grants Manager to prepare the papers for Grants Committee meetings (potentially using generative AI).Liaise and build relationships with Grant Partners to ensure all grant giving governance and reporting requirements are met. Tactfully chase Grant Partners for delayed reports.Be the first point of contact via email and phone for all grant related and general enquiries.Shared LearningSupport the preparation of events, including managing registration on Salesforce, liaising and confirming requirements with venues, running the attendance register, preparing badges and any other tasks to ensure events run smoothly.Prepare mass mailings via Salesforce for Members and Grant Partners.Review and approve/reject requests from individuals to join the Online Forum.Annually review each Members engagement to confirm active Members.Support Colleagues and TrusteesCollate reports from Salesforce for colleagues as necessary.Work with colleagues to set the annual schedule of Trustee meetings.Annually review and clean the Salesforce data and ensure compliance with GDPR.Manage the administration for Trustee recruitment, appointment, attendance and resignations and expense claims.Produce and circulate accurate and timely meeting minutes when required.Provide support for in-person staff and Trustee meetings, including booking and liaising with venues and organising refreshments.Edit the website ensuring that information is up to date and correct.Support colleagues with any other tasks relevant to the role as and when required.SKILLS / EXPERIENCEEssentialExperienced in using and maintaining CRM platforms to manage and analyse data (preferably at an Administrator level)Confident in using generative AI to maximize efficiency, and an interest in new technology and how it might benefit the Educational Opportunity Foundation and its work.Excellent analytical skills, including the ability to analyse new applications against criteria to ensure eligibility, and to analyse and interpret numerical and statistical data on Salesforce to produce accurate reportsExperience in a customer service roleExcellent written and spoken EnglishAttention to detail and accuracy in database management and written workExcellent communication skills, corresponding professionally by email and an ability to work with a wide range of people in keeping with our valuesHighly organisedProactiveEffective at planning and scheduling a varied workloadAbility to work flexibly and on own initiative as part of a small home-based team.Ability to commute to London as required (usually monthly)Understanding of data protection/GDPR and confidentiality of personal dataAppreciation of Diversity, Equality and InclusionCommitment to Educational Opportunity Foundations values and goalsDesirableExperience of using SalesforceExperience of coordinating or supporting eventsKnowledge of charity governanceKnowledge of safeguardingTPBN1_UKTJ
